You are a Staff Member and you want to host a video conference Meeting for either your Students or other Staff Members.
Solution:
- You can use the Calendar within Teams to schedule a New Meeting that your Team Members can Join.
- You can make yourself the only presenter in the Meeting, to prevent having your meeting hijacked.
- You can can cancel the Meeting after it is finished to prevent Students using the meeting space without your knowledge.
Steps:
Schedule a new Meeting:
- Open Microsoft Teams and click on Calendar.
- Click New Meeting.
- Enter your Meeting details then click Save.
- The Meeting now appears in your Calendar. The meeting also appears in the Teams Channel. Your participants also receive meeting invites via Email.
Making yourself the only Presenter:
- To prevent Students and other Staff Members from hijacking your meeting, you must now change the settings to make yourself the only presenter. You can be muted and Students can dominate your meeting if you do not do this! In Calendar, click on the meeting.
- Click Meeting Options.
- Set Who can present? to Only me, then click Save. You can then click Close.
Cancelling your Meeting after it has finished:
You should cancel your Meeting once it is finished. Students can re-enter the Meeting without your presence and can potentially misuse this digital technology if you do not cancel the meeting!
- When the meeting has ended, wait in the meeting until all attendees have left. Click Show Participants and confirm your are the only person left. Click Hang Up (i.e. the red phone).
- In your Team Channel, go to Posts. Click the meeting.
- Click Cancel Meeting.
