Problem
You want to make use of the Microsoft Office 365 suite of Applications to communicate with your Teacher and Classmates. You've heard that you can use either Emails or Teams to digitally reach them, but you are not sure which to use, or what the difference between the two actually are.
Solution
- You will be able to describe the Microsoft Office 356 suite of Applications.
- You will be able to list and describe each Application.
- You will know what the Outlook App is used for.
- You will know the differences between communicating using Emails and using Teams.
- You will be able to describe what an email is and how to access your school emails.
Steps
Before you learn how to best communicate using Emails and Teams, let's learn a little bit about the tools you are about to use to communicate with your teacher and classmates.
What is Microsoft Office 365 suite?
Office 365 is a group (or suite) of Applications. Each Application is a tool on your laptop that you can use to get something done. Some of the more popular Applications include:
Application | What you can do with it |
Outlook | Outlook is for sending and receiving emails. Use Outlook to send an email to your Teacher. |
Word | Word is for writing essays. Use Word to write an essay for a Humanities CAT. |
PowerPoint Sway | PowerPoint and Sway are for creating presentations. Use either PowerPoint or Sway to create a presentation to display on the classroom TV or projector while you doing your oral presentation in English. Sway is super quick and easy to use, but you can do a whole lot more in PowerPoint. Big companies use PowerPoint to present in their offices. |
Teams | Teams is so you can stay connected with you Teacher and Classmates. Use Teams to chat casually with your teacher and classmates. In the past, big companies used Outlook to communicate. Today these companies are shifting over to use Teams and the Google Suite. |
OneDrive | OneDrive is used to store your files, pictures and videos in the cloud, instead of just on your laptop (which is risky). |
Excel | Excel is used to crunch numbers and display a graph in Science. |
OneNote | OneNote is used to collaborate with your teacher and classmates on classroom activity. |
Forms | Forms is used to conduct a survey of all students at Kambrya. |
How do I use Office 365 to communicate with others?

What does Outlook look like?
You may already have Outlook setup and ready to go on your laptop. This is the Outlook icon:
When you first open Outlook , you will see your Inbox. Your inbox has the all the emails you have received from other people. You can double-click on any email to open it, so that you can read the body of the email.

How do I open Outlook on my laptop?
To check if you have Outlook on your laptop, look at your taskbar (along the bottom) and see if the Outlook icon is pinned to the taskbar. If Outlook is pinned to your taskbar, you can click on the icon to open Outlook.
Having Outlook pinned to your taskbar is the best way to setup Outlook. This allows you to:
- Open the Outlook App every morning with ease.
- Keep Outlook open all day.
- Quickly check and see if you have received any emails throughout the day.
Note: Any adult who uses a computer for work, sets up Outlook on their laptop in the same way!
How do I pin Outlook to my taskbar?
If Outlook is not in your taskbar:
- Click in the search box (bottom left) and start typing “outlook”.
- The Outlook App appears in the search results (only if you have Office 365 is installed on your laptop).
- Click on the App to open it.
With the App open, go to the taskbar (along the bottom), right-click on the App icon and choose “Pin to taskbar”.
Note: The Outlook App icon will stay in your taskbar, even if you close the App!
What if Outlook is not on my laptop?
If the Outlook icon does not appear, you need to install the Office 365 suite.

What if Outlook asks for my Password/Account?
Students enter their username and password when prompted.
Note: your username for the Microsoft Office 365 suite is your student ID with @kambryacollege.com OR @kambryacollege.vic.edu.au on the end.
For example, if your student ID was ABC1234, you would enter ABC1234@kambryacollege.com OR ABC1234@kambryacollege.vic.edu.au (if you do not know which one, ask your teacher or contact IT Support).
Your password is the same as your Compass password.
